Charter Terms & Conditions

General Charter

Please ensure that the times on your quotation/confirmation are the times at which your vehicle is to pick up and depart. It is important that these times are correct as overtime rate may apply.  Overtime is charged after 15 minutes wait time at an hourly rate or part thereof applicable to the vehicle type.

Any minor changes to your booking details will try to be met where possible and may be made up to 2 working days prior to the transfer date. Changes specific to vehicle size and times, we will endeavour to do all we can to try to accommodate these, however due to vehicle scheduling this may not always be possible. We recommend that as soon as you are aware of any changes that may affect your booking that you please advise our office as soon as possible to avoid possible disappointment.

Cancellations: 50% of the Charter cost may be charged if the job is cancelled within 48 hours of the transfer. 100% of the Charter cost may be charged if the job is cancelled within 24 hours. If the job is cancelled after the job has been confirmed a $50 administration fee will apply.

Quotations are valid for 30 days from date of issue. After this time a new quotation will need to be issued.

Please Note: For all overnight transfers and tours there is a maximum luggage capacity of 15kg per person, equivalent to a small suit case and one small carry on item. If you are aware that there may be excess baggage or oversized / odd shaped luggage you must advise us at the time of booking so an appropriate vehicle or trailer may be sent. Excess baggage may be left behind due to limited luggage space and transported at the hirer's own expense.
Upon acceptance of our quotation a deposit is required to secure your booking, either via direct bank transfer, Cash or Cheque.  Full payment must be finalized at least 7 days prior to your booking. If Payment and any finalised details are not received in full by the due date (7 days prior to transfer), your booking and any monies paid may be forfeited. Please contact our office in the first instance if a problem arises.

Bonds: Please note that some charters require a bond applicable to the type of vehicle chartered. The bond is to cover excess cleaning (vomit, mess, drinks etc) and any damage that may arise to the vehicle during the charter, whether caused by anyone travelling on the vehicle or associated persons known to anyone travelling on the vehicle. It is the hirer's responsibility on acceptance of the charter to ensure all passengers behave in an orderly and safe manner.

Please note that payment in full is required prior to the transfer date unless previously arranged. Accounts can be set up with at least 7 days prior notice and a director's guarantee may be required to be signed for all new accounts.

Schools

Changes specific to vehicle size and times, we will endeavour to do all we can to try to accommodate these, however due to vehicle scheduling this may not always be possible. We recommend that as soon as you are aware of any changes that may affect your booking that you please advise our office as soon as possible to avoid possible disappointment.

Cancellations: If a job is cancelled and rebooked to a different date, all applicable fees will be waived excepting under the following terms.

If a bus is cancelled before 12 noon on the day prior to travel there will be no cancellation fee. Any bus cancelled on the day of hire may incur a cancellation fee of up to 50% of the agreed charter cost.

A minimum cancellation fee of $50 per vehicle may apply to all charters cancelled prior to the initial pickup on the day. Cancellation fees will not apply if the vehicles are cancelled due to wet weather if notice is received 1 hour prior to the initial pick up time.

If the cancellation is received after this time then the above terms apply.

Please ensure that all your administration staff and teachers organising the transfers are aware of our out of hours contact numbers. A message left on the office phone outside of office hours will not be accepted as a form of cancellation. Cancellation must be confirmed by talking to a member of our office staff in the first instance.

All our accounts are 14 days from date of invoice unless previously arranged.
